Copilot missing in Word, Excel, PowerPoint or Teams with a Microsoft 365 license: causes and fixes

Last verified: November 8, 2026
Many people pay for a Microsoft 365 plan that is supposed to include Copilot, open Word, Excel or PowerPoint, and find no Copilot button anywhere on the ribbon. The same complaint shows up for Teams, where some users see a Copilot tab and others with what looks like the same plan see nothing. In most cases the feature is there and has moved: Copilot now lives in a floating button in the corner of the document, and when that button is truly absent the usual causes are the wrong signed-in account, a license the app has not refreshed, or a privacy or update setting that switches Copilot off.
The problem affects both home plans (Microsoft 365 Personal, Family and Premium) and work or school accounts, but the fixes differ. Home users can usually solve it themselves in a few minutes, while on a company account several of the switches sit with the IT administrator. Microsoft also renamed its business product in 2026: Microsoft 365 Copilot is now called Microsoft Copilot, and Microsoft 365 Copilot Chat is now Microsoft Copilot Chat, so help pages and admin screens may use either name.

WHERE COPILOT SHOULD APPEAR IN WORD, EXCEL AND POWERPOINT.
The most common reason people think Copilot is missing is a change in where it sits. Between April and June 2026 Microsoft rolled out the Copilot Dynamic Action Button worldwide in Word, Excel and PowerPoint on Windows, Mac and the web, with government clouds (GCC, GCC High and DoD) scheduled from October 2026. It is a small button anchored in the corner of the open document, and clicking it opens the Word, Excel or PowerPoint agent in a chat pane on the right. Microsoft's support page on the missing button now tells users to look there first, because Copilot's capabilities did not change, only its entry point.
If you prefer the old position, right-click the button and choose Move to ribbon. On Windows and macOS the choice is remembered for each app across sessions, while in the browser version it lasts only for the current session. You can also right-click and choose Dock, or drag the button to the side of the page, which keeps it out of the way for the rest of the working session.
........
Platform | Keyboard shortcut to open Copilot | Move to ribbon requires |
Windows desktop and web | Alt + C, or F6 | Windows Build 16.0.20129.15140 or later |
Mac desktop and web | Cmd + Control + I, or F6 | macOS Build 16.109.525.2 or later |
Excel, Word, PowerPoint for the web | Same as the operating system above | Choice not kept between browser sessions |
........
Outlook is not part of this change and keeps its own Copilot controls. If your problem is specifically in Outlook, our separate guide on Copilot missing in Outlook even with a Microsoft 365 license covers the mailbox and Outlook version requirements that do not apply to Word, Excel or PowerPoint.

COPILOT MISSING IN MICROSOFT 365 APPS: CAUSES, CHECKS AND FIXES.
When the Dynamic Action Button is also absent, Copilot is switched off or not available to the account the app is using. The table lists the documented causes, in the order worth checking, with the place to look and the fix for each one.
........
Cause | How to check | Fix |
Copilot moved to the corner button | Look in the lower-right corner of an open document, or press F6 | Use the button, or right-click it and choose Move to ribbon |
Wrong account signed in to the app | File > Account shows the signed-in user | Sign in with the account that owns the Copilot plan or license |
App still holds an old license | Copilot missing right after buying or assigning a plan | File > Account > Update License, then close and restart every Microsoft 365 app |
Family or Premium member who is not the owner | Check who bought the subscription | Only the subscription owner gets Copilot in Word, Excel and PowerPoint |
Enable Copilot checkbox cleared (personal accounts) | File > Options > Copilot on Windows | Select Enable Copilot, select OK, restart the app |
Privacy settings block Copilot | File > Account > Account Privacy > Manage Settings | Turn on experiences that analyze your content and all connected experiences |
Semi-Annual Enterprise Channel (work accounts) | File > Account > Product Information | Move to Current Channel or Monthly Enterprise Channel; use the web apps meanwhile |
Outdated build | File > Account > Product Information shows the version | Install Office updates, then restart |
........
Two further limits apply to specific users. Microsoft's subscription FAQ says AI features are restricted by age requirements that vary by region, so a child account, or an account with a wrong birth date, may not get Copilot even inside a qualifying plan. On the business side, Microsoft's requirements page states that Copilot is not available with device-based licensing for Microsoft 365 Apps for enterprise, which is the model often used on shared PCs, kiosks and classroom machines.

FIXING COPILOT ON A MICROSOFT 365 PERSONAL, FAMILY OR PREMIUM PLAN.
Home plans include Copilot in Word, Excel, PowerPoint, Outlook and OneNote, paid for through AI credits, but the apps only show it when they can confirm the account and its subscription. Work through these steps in order and test after each one by opening a new blank document.
1. Open File > Account in Word and read the user shown under User Information. If it is a work or school account, or a second personal account, sign out and sign in with the Microsoft account that holds the subscription.
2. Confirm that you are the owner of the plan. Microsoft states that the AI features in Word, Excel, PowerPoint, Outlook and Designer included in Microsoft 365 Family and Premium "are only available to the subscription owner and cannot be shared with others." Family members who share the plan do not receive those AI features.
3. On the same File > Account page, select Update License, then close every Microsoft 365 app and reopen Word.
4. Check the Enable Copilot checkbox, which exists only for personal Microsoft accounts. On Windows it is under File > Options > Copilot (Word 2412, Excel 2501, PowerPoint 2501 and OneNote 2502 or later). On a Mac it is under the app menu, Preferences > Authoring and Proofing Tools > Copilot (Word 16.93, Excel and PowerPoint 16.93.2 or later). The setting applies to one app on one device, so turning it off in Excel on a shared family PC hides Copilot in Excel for everyone using that PC, while Word on the same computer is unaffected.
5. Check the privacy settings. On Windows go to File > Account > Account Privacy > Manage Settings and turn on experiences that analyze your content and all connected experiences; on a Mac the same options are under Preferences > Personal Settings > Privacy.
6. Update the apps and restart the computer. On Windows, Microsoft's Get Help app includes a Copilot License Troubleshooter for the case where you have a license but cannot see the Copilot icon, and a separate connectivity troubleshooter that checks firewall rules and other blockers.
Removing the Copilot icon from the ribbon with ribbon customization does not turn Copilot off, according to Microsoft, so a customized ribbon on its own does not explain a fully missing feature. FIXING MICROSOFT COPILOT ON A WORK OR SCHOOL ACCOUNT.
On a company tenant, Microsoft's requirements say users need a Microsoft Copilot license plus a qualifying prerequisite license, while Copilot Chat is offered to users with an eligible Microsoft 365 subscription.
1. Sign in with the work account that has the license and select File > Account > Update License, then restart all Microsoft 365 apps.
2. Read the update channel under Product Information. Microsoft's missing-button page says Copilot is not available on the Semi-Annual Enterprise Channel and tells business users to switch to Current Channel or Monthly Enterprise Channel, or ask the help desk to move the device. Until that happens, Copilot works in the web versions of Word, Excel and PowerPoint.
3. Check the privacy settings. If experiences that analyze your content or connected experiences are switched off and you cannot change them, the organization manages them by policy. Microsoft's admin documentation warns that these privacy controls can affect the availability of Copilot features, so the administrator has to review the policy.
4. Ask whether the device uses device-based licensing for Microsoft 365 Apps for enterprise. Microsoft states Copilot is not available in that model, so a user license is needed.
5. Ask the network team to confirm the documented requirements: the worldwide Microsoft 365 URLs and IP ranges, the domain *.cloud.microsoft on the allow lists (Microsoft does not support allowing only selected URLs inside it), and full WebSocket Secure connectivity to *.office.com, *.cloud.microsoft and copilot.cloud.microsoft. The requirements page adds that the Office Feature Updates task must run on its regular schedule and reach the required network resources for core Copilot experiences in Word, Excel, PowerPoint and OneNote.
6. Run the Copilot License Troubleshooter from the Get Help app on Windows, or from Microsoft's link aka.ms/Copilot-LicensingTroubleshooter, and share the result with IT.

WHY COPILOT IN EXCEL STAYS UNAVAILABLE ON SOME WORKBOOKS.
Excel adds conditions of its own, which explains reports of Copilot working in Word and PowerPoint while Excel shows nothing. Microsoft's Excel Copilot tutorial states that Copilot in Excel works with workbooks stored in OneDrive or SharePoint in the modern formats .xlsx, .xlsb and .xlsm, and that a local file or an unsupported format will limit or disable it. The same page says Microsoft historically required AutoSave to be on and that since the July 2026 update Copilot also supports cloud workbooks with AutoSave off, while the consumer FAQ still describes AutoSave as required, so the safest setup remains a file saved to OneDrive with AutoSave on.
........
Excel condition | What happens | Fix |
Workbook saved on the local disk | Copilot limited or disabled | Save the file to OneDrive or SharePoint |
Old .xls or another non-modern format | Copilot limited or disabled | Save as .xlsx, .xlsb or .xlsm |
Strict Open XML format | Copilot will not work with the file | Save again as a standard .xlsx workbook |
File checked out in SharePoint | Unsupported file state | Check the file in, then reopen it |
Calculation Options set to Manual | Copilot cannot edit the workbook | Formulas > Calculation Options > Automatic |
Excel for the web with third-party cookies blocked | Copilot may not load | Allow third-party cookies for the site in the browser |

COPILOT MISSING IN MICROSOFT TEAMS ON PERSONAL AND WORK ACCOUNTS.
Teams follows different rules from the Office apps. For Teams for personal use, Microsoft's support page says Copilot is available to Microsoft 365 Personal, Family or Premium subscribers with a Teams personal account, and appears as a Copilot tab, with past chats in the navigation pane. The page documents the desktop and web apps. Copilot follows the signed-in account, and a Microsoft moderator on the official Q&A forum gave this order of checks in February 2026: sign out, sign back in with only the subscribed account, and fully restart Teams after updating it.
On work and school accounts, Microsoft says Copilot Chat is pinned by default to the navigation bar of the Microsoft 365 apps, including Teams, for most eligible users. A user who unpins Copilot Chat keeps it unpinned in future sessions, so a missing icon can simply be a personal choice, and the app can be added back from the Teams app store. Administrators who want to control its position use app setup policies in the Teams admin center, and the Copilot app must also be allowed through app permission policies or app-centric management, otherwise pinning has no effect. Calls and meetings add another layer: Copilot in Teams VoIP calls needs the Microsoft Copilot license, PSTN calls also need a Teams Phone license and a calling plan, and for Copilot to use meeting content after a meeting ends, transcription or recording must be configured.

WHAT MICROSOFT DOCUMENTS AND WHAT USERS ONLY REPORT.
Several fixes that circulate in forum threads are reasonable checks without being part of Microsoft's documentation for a missing Copilot button.
........
Step | Status | Source |
Dynamic Action Button, Update License, Enable Copilot checkbox, privacy settings | Documented | Microsoft Support |
Owner-only Copilot on Family and Premium | Documented | Microsoft subscription FAQ |
Semi-Annual Enterprise Channel and device-based licensing not supported | Documented | Microsoft Support and Microsoft Learn |
Start Word in Safe Mode and disable add-ins one by one | Suggested by an independent advisor | Microsoft Q&A, November 2026 |
Test a new blank document; leave Compatibility Mode or Protected View | Suggested by an independent advisor | Microsoft Q&A, November 2026 |
Online Repair of Microsoft 365 from Windows Settings | Suggested by an independent advisor | Microsoft Q&A, November 2026 |
Wait 30 to 60 minutes after a plan upgrade, clear the Teams cache | Suggested by a moderator, not documented | Microsoft Q&A, February 2026 |
........
The advisor's checks are useful when Copilot appears in a new document but not in an older one, which points to the file rather than the account.

KEEPING COPILOT VISIBLE IN MICROSOFT 365 AFTER UPDATES.
Copilot that disappears again usually follows a change the user did not make deliberately: a new device installed on the Semi-Annual Enterprise Channel, a privacy policy pushed by an organization, or a second account added to Office. File > Account remains the quickest check, because the signed-in user, the license, the channel and the privacy settings are all reachable from that one page.
Home users who share a computer should remember that the Enable Copilot checkbox is per app and per device, and that the Outlook toggle is separate and account-wide. Business users should note the version and channel before calling the help desk. Readers who removed Copilot on purpose and want it back can reverse the steps in our guide on how to disable Microsoft Copilot in Windows, Edge and Microsoft 365 apps.

COPILOT IN WORD, EXCEL, POWERPOINT AND TEAMS: WHAT DECIDES WHETHER IT SHOWS.
Copilot's visibility in the Office apps depends on four things Microsoft documents clearly: the account signed in to the app, a license the app has refreshed, the update channel, and the privacy settings for connected experiences. Since mid-2026 the entry point is the Dynamic Action Button in the document corner, which can make a working Copilot look missing. On Family and Premium plans only the subscription owner gets Copilot in the apps, a limit that Microsoft states plainly and that no setting changes.
Excel and Teams add their own conditions. Excel needs a modern workbook format stored in OneDrive or SharePoint, while Teams needs the right type of Teams account for home users and an allowed, pinned Copilot app on company tenants. The forum fixes involving Safe Mode, repairs and cache clearing remain user-reported steps, worth trying only after the documented checks on File > Account have been ruled out.
