Gemini’s integration with Google Workspace is expanding rapidly, reshaping Gmail, Docs, Sheets, Drive, and other core apps with advanced multimodal and reasoning features. The latest enhancements bring improved automation, context-aware assistance, and expanded administrative controls while also introducing important quotas and region-specific availability constraints.
Gmail introduces generative summaries and advanced writing assistance.
Gmail’s Help Me Write has reached general availability, allowing users to draft emails faster with context-driven suggestions. Additionally, summary cards have been rolled out for email threads containing six or more messages, initially supporting English, Japanese, and Korean. As of mid-August, Spanish support entered open beta, allowing more multilingual capabilities.
Key highlights:
Generative summaries available for large email threads.
Full multilingual support expanding progressively.
Summary cards integrated seamlessly into the inbox.
These enhancements significantly improve email navigation, especially for enterprise users handling high-volume communications.
Google Docs adds inline suggestions, automatic summaries, and Drive citations.
Google Docs now offers inline smart suggestions, AI-powered auto-summaries, and a cite-from-Drive integration panel. These features are designed for collaboration-intensive workflows and enable seamless retrieval of references directly from stored documents.
However, there are two important limitations:
Document size cannot exceed 500,000 characters.
Vision parsing for embedded images and charts requires Gemini 2.5 Pro seats.
The additional vision support in Gemini 2.5 Pro improves accuracy when analyzing slides, infographics, and scanned PDFs, making it particularly useful for legal and financial document reviews.
Sheets raises the row limit and expands formula automation.
Gemini’s formula helper for Google Sheets became widely available earlier this year, offering guided assistance for creating advanced formulas through natural language prompts. While initially capped at 10,000 rows, the limit was increased to 50,000 rows per sheet in July, improving support for complex data modeling.
Key updates in Sheets:
Formula helper uses natural language queries.
Native =GEMINI()Â function enables contextual formula generation.
Limit raised from 10,000 rows to 50,000 rows per sheet.
European Union rollout expected in Q4 2025Â following privacy reviews.
This expansion significantly enhances Gemini’s ability to support enterprise-scale data processing directly inside Sheets.
Drive integrates multimodal search and smart labeling.
Gemini-powered Drive vision search is now fully available, enabling retrieval of files based on image, text, or table contents. Vision tokens are deducted from the monthly multimodal quota using a 1:1 token ratio. However, starting August, a new 2:1 ratio applies for high-resolution vision processing, meaning each vision token consumes double the quota when parsing detailed images or PDFs.
Additionally, Drive has launched smart labels in beta, which automatically classify PDF topics and large documents. This feature is restricted to Enterprise Standard and Enterprise Plus plans.
Key quotas for Drive vision search:
Plan | Monthly Vision Tokens | Billing Ratio |
Business Starter/Standard | 500,000 | 1 : 1 |
Enterprise Standard | 1,500,000 | 1 : 1 |
Enterprise Plus | 3,000,000 | 2 : 1 (detailed) |
This multimodal integration accelerates workflows for organizations managing large file repositories and legal archives.
Calendar, Tasks, and Keep gain Gemini Live references.
Gemini Live references are now being deployed across Google Calendar, Tasks, and Keep, providing AI-driven contextual highlights directly within scheduling and personal organization workflows. Users can enable or disable these hooks through:
Admin Console → Apps → Additional Google Services → Gemini Hooks
For enterprise admins, Gemini references offer deep integration between stored documents, scheduled meetings, and shared notes, improving overall productivity.
Enhanced administrative controls for enterprise deployments.
Google has introduced centralized retention policies and risk-tier labeling within the Admin Console. Admins can now configure automatic data retention windows of 30, 90, or 180 days, with 180 days set as the default.
Additionally, a new compliance dashboard aggregates Gemini-driven activity logs, providing full visibility into prompts, token usage, and generated outputs. This is crucial for organizations managing regulatory workloads.
Gemini memory and temporary chats expand contextual capabilities.
The new Gemini Memory feature is now available across Google Workspace, allowing the assistant to retain conversation context, preferences, and frequently referenced files. Memory is enabled by default but can be turned off in:
Settings → Privacy → Gemini Memory
For sensitive workflows, Google introduced Temporary Chat Mode, which stores data for 72 hours only, giving teams greater flexibility when handling confidential materials.
Google Slides launches Gemini Storyboard preview.
A newly released Storyboard add-on integrates directly into Google Slides, transforming structured document outlines into draft presentations. By combining Gemini’s contextual reasoning with real-time formatting, this feature reduces manual slide preparation and accelerates team workflows.
Summary of current Gemini integration limits and updates.
Feature | Availability | Key Limitation | Latest Update |
Gmail Help Me Write | GA | Limited to email drafting | Multilingual expansion ongoing |
Gmail Summaries | GA | ≥ 6-thread limit | Spanish beta added |
Docs Auto-summaries | GA | 500,000-char limit | Vision parsing needs Pro |
Sheets Formula Helper | GA | Raised from 10,000 to 50,000 rows | EU release Q4 2025 |
Drive Vision Search | GA | Tokens deducted from quota | Detailed image parsing billed 2:1 |
Gemini Live Hooks | GA | Admin-configurable | Expanded to Calendar/Tasks/Keep |
Gemini Memory | GA | Optional toggle in Privacy | Enabled by default |
