Copilot in Excel, Claude for Excel and ChatGPT for Excel can all read a close workbook, propose a task list and match bank lines against the cash ledger, but none of them signs off a reconciliation. In the official documentation checked on November 2, 2026, Microsoft lists its new Excel accounting capabilities for reconciliation and journal entries as available in Frontier, Anthropic says Claude for Excel is not recommended for audit-critical calculations without verification, and OpenAI warns that complex formulas may still require manual refinement. The practical use for a controller is a faster first draft of the checklist and of the reconciling items, followed by a review against numbers the team can compute independently.

The worked example below uses an illustrative October bank reconciliation with a $191,385.50 bank balance, a $185,293.00 general ledger balance, three outstanding checks, a deposit in transit, a returned customer check, a bank fee, interest income and a transposition error. The correct adjusted cash balance is $184,160.50 on both sides, and the four book-side journal entries total $1,537.50 in debits and credits. Those figures give the reviewer a fixed target for checking what any of the three assistants produces.

The same structure works for any month: a checklist that assigns each close task to an owner and a business day, a reconciliation that explains every difference between two independent records, and a short set of adjusting entries that bring the ledger to the reconciled balance. AI shortens the drafting and matching steps. The approval steps stay where the close calendar puts them.

MONTH-END CLOSE CHECKLIST: WHAT FINANCE TEAMS TRACK EACH MONTH.

A month-end close checklist turns a recurring set of accounting tasks into a dated, owned and evidenced list. Most teams organize it by business day after period end, starting with cut-off and cash, moving through subledger tie-outs and accruals, and finishing with review of journal entries, flux analysis and sign-off. The checklist is also the document auditors and reviewers ask for when they want to see who prepared and who approved each reconciliation, so its value depends on keeping the evidence column complete.

An AI assistant can draft the first version of this list from a prior month's workbook, a description of the entity or a trial balance. The draft is useful as a starting point because it is fast to produce and easy to compare with the team's existing close calendar. It still has to be edited for the company's own systems, materiality thresholds, entity structure and reporting deadlines, which no general model knows.

The timing in the table is illustrative; a company with a three-day close compresses the same tasks, and a group with many entities usually adds consolidation and elimination steps. The year-end version of this list adds audit-specific cut-off and accrual testing, covered in year-end close under US GAAP: cut-off, accruals and adjusting entries. Correcting entries found during the monthly review follow the logic described in month-end closing: correcting and adjusting accounting entries.

COPILOT IN EXCEL, CLAUDE AND CHATGPT FOR THE CLOSE: DOCUMENTED REQUIREMENTS.

The three assistants reach the close workbook in different ways. Copilot is built into Excel and depends on the Microsoft license and tenant configuration. Claude for Excel and ChatGPT for Excel are add-ins that sign in with a Claude or ChatGPT account. The table summarizes what each vendor documents, as checked on November 2, 2026; anything the vendor page does not state is shown as not documented.

On the Microsoft side, the Copilot in Excel FAQ says that Personal and Family subscribers need an AI credits plan, that editing works only when Calculation Options are set to Automatic, that files from SharePoint sites requiring check-out do not work in Excel on Windows or Mac, and that the Strict Open XML Spreadsheet format is not supported. Microsoft's October 29, 2026 announcement of Copilot for finance adds accounting skills that compare balances and transactions, identify discrepancies and prepare reconciling items for review, plus a journal entry skill that checks required inputs and balanced entries. Those accounting capabilities are listed as available in Frontier, while the finance skills already in Copilot in Excel are listed as generally available. The same post describes a Cowork Finance plugin that can prepare a close review package, and an optional audit trail that records what Copilot changed and why. The launch itself is covered in Microsoft launches Copilot for finance with accounting skills in Excel.

Anthropic documents Claude for Excel for Excel on the web, Excel on Windows with a Microsoft 365 subscription from build 16.0.13127.20296, and Excel on Mac from version 16.46. It does not run on Excel 2016 or 2019 perpetual licenses, on iPad or on Android. OpenAI's ChatGPT for Excel page states general availability across all plans from May 5, 2026, and says that in Enterprise, Edu and Teacher workspaces access is off by default until an admin enables it. Third-party plugins announced by Microsoft, including QuickBooks and Xero, may require separate licensing or administrator enablement from the provider.

BANK RECONCILIATION WITH AI: AN ILLUSTRATIVE OCTOBER DATASET.

The example company closes October 2026. Its bank statement shows a closing balance of $191,385.50 and its general ledger cash account shows $185,293.00. The unadjusted difference is $6,092.50. The two extracts below contain only the items that do not match one-for-one; all other October lines have already been matched by amount, date and reference. The data is illustrative and invented for the exercise.

With the workbook open, the reviewer first asks the assistant to match the two lists and classify every unmatched item, then asks for the reconciliation and the entries as separate steps. Keeping the steps apart makes it easier to see where a wrong classification enters the result. The prompts below work in any of the three assistants because they refer only to the data in the sheet.

Match the GL cash items in sheet GL_Oct with the bank items in sheet Bank_Oct
by check number, amount and date. List every item that does not match exactly
and classify it as: deposit in transit, outstanding check, bank-only item
(fee, interest, returned check) or recording error. Show the cell for each item.

Prepare an October bank reconciliation with two sections: balance per bank
adjusted for deposits in transit and outstanding checks, and balance per books
adjusted for bank-only items and recording errors. Both adjusted balances must
be equal. Then list the journal entries needed in the GL, with debits equal to
credits. Do not change any existing cells; write the result in a new sheet.

A useful third prompt asks the assistant to explain the $90.00 difference on check 4095 and to state which side of the reconciliation it belongs to. Bank-side timing items such as outstanding checks never produce journal entries, so an answer that books them is wrong regardless of how the reconciliation is formatted. The classification rules behind each item are set out in bank reconciliation: timing differences, errors and adjusting entries.

EXPECTED BANK RECONCILIATION RESULT FOR THE EXAMPLE.

The correct result, computed independently in Python, brings both sides to $184,160.50. On the bank side, the October 31 deposit of $12,400.00 is added and the three outstanding checks totaling $19,625.00 are deducted. On the book side, the returned check of $1,250.00 and the $85.00 fee are deducted, the $112.50 interest is added, and the $90.00 recording error is added back because check 4095 cleared at $2,340.00 while the ledger recorded $2,430.00.

Only the book-side items require journal entries. The returned check reinstates the receivable from the customer, the fee and the interest are recognized in the period the bank recorded them, and the transposition error is corrected against accounts payable on the assumption that check 4095 settled a recorded vendor invoice. After posting, the cash account moves from $185,293.00 by a net $1,132.50 decrease to $184,160.50, which agrees with the adjusted bank balance.

If the vendor payment had been booked directly to an expense account instead of accounts payable, entry 4 would credit that expense account. The reviewer decides this from the original posting, which the assistant may or may not be able to see in the workbook.

REVIEWING AI OUTPUT IN THE MONTH-END CLOSE.

The errors that show up in AI-drafted reconciliations tend to be the same few. An assistant may net the returned check against the original deposit and report the two lines as matched, which hides the receivable that has to be reinstated. It may treat outstanding checks as book adjustments and propose entries for them. It may round or reformat amounts so that a $90.00 transposition disappears, or it may describe a difference correctly in text while the sheet it writes uses a different number. Each of these is visible only if the reviewer compares the output with an independent calculation.

Two quick formula checks catch most problems before the detailed review. The first confirms that both adjusted balances agree and that the reconciliation ties to the ledger and the statement. The second tests whether an unexplained difference is divisible by 9, a common sign of a transposed amount such as 2,430.00 recorded for 2,340.00.

=ROUND(AdjustedBank - AdjustedBook, 2) = 0
=MOD(ROUND(ABS(UnexplainedDifference) * 100, 0), 9) = 0
=SUMIFS(Bank_Oct[Amount], Bank_Oct[Status], "Unmatched")

The control steps that stay with people are the ones the checklist already assigns to them. The preparer confirms that the bank balance comes from the actual statement and the book balance from the closed ledger, the reviewer agrees each reconciling item to source documents, and the controller approves the journal entries before they are posted in the accounting system. Unreconciled items older than the company's threshold are escalated, whatever the assistant suggests. Microsoft's FAQ advises users to review, edit and verify anything Copilot creates, and Anthropic advises starting from a trusted copy of the workbook before asking Claude to edit widely.

DATA HANDLING FOR CLOSE WORKBOOKS IN COPILOT, CLAUDE AND CHATGPT.

Close workbooks contain bank account details, customer names and payroll figures, so the data terms of each assistant belong in the close policy. Microsoft states that Copilot for finance processes prompts and responses within the Microsoft 365 service boundary with enterprise data protection, honors existing permissions and sensitivity labels, and does not use prompts, responses or documents to train foundation models. Changes Copilot saves to a shared file are visible to anyone with access, and the Copilot in Excel FAQ notes that individual Copilot conversations cannot currently be deleted.

Anthropic documents that Claude for Excel sends conversations, including workbook content Claude reads and attached files, to Anthropic when the user signs in with a Claude account, and that inputs and outputs are deleted on the backend within 30 days except in specified cases. Chat history is stored locally in the browser, the add-in does not inherit custom retention settings, and its activity is not included in Enterprise audit logs, although Enterprise organizations using the Compliance API receive Claude for Excel sessions there. Anthropic also warns that external files such as vendor templates and data imports can contain hidden prompt injections, which is relevant for close teams that open bank exports and supplier statements from outside the company.

OpenAI states that for ChatGPT Enterprise data is not used to train or improve models by default, and lists encryption in transit and at rest, role-based access, SSO, SCIM, audit logs and data residency controls. The ChatGPT for Excel page does not describe data handling for other plans, so teams using Plus, Pro or Business accounts should check their own plan terms before loading a close workbook.

MONTH-END CLOSE WITH AI: WHAT THE TOOLS DOCUMENT AND WHAT STAYS WITH THE CONTROLLER.

On November 2, 2026, Microsoft is the only one of the three vendors documenting reconciliation and journal entry skills built for accountants inside Excel, and those skills are listed as available in Frontier. Claude for Excel and ChatGPT for Excel document general workbook reading, editing and formula tracing, which is enough to match bank lines and draft a reconciliation from clear instructions, with no dedicated reconciliation feature described by either vendor.

For the example, a correct answer from any assistant shows an adjusted balance of $184,160.50 on both sides, classifies the $12,400.00 deposit and the $19,625.00 of checks as bank-side timing items, and proposes four balanced book entries totaling $1,537.50. Whether the $90.00 correction goes to accounts payable or to an expense account depends on how check 4095 was originally posted, and that decision, together with approval of every entry and sign-off of the checklist, remains with the preparer, the reviewer and the controller.
