QuickBooks Online vs Xero AI bookkeeping, plan limits and 2026 US pricing cover with city skyline - Data Studios original cover

QuickBooks Online lists its paid US plans at $38, $85, $140 and $340 a month, while Xero lists its three US plans at $27, $59 and $97 a month, according to the two vendors' US pricing pages checked on November 8, 2026. Both vendors discount the first three months for new subscribers: Intuit shows 50% off on its paid plans and Xero shows 80% off on its base plans. The headline gap is only part of the decision, because the two products draw their plan boundaries in different places. QuickBooks caps the number of users on each tier, from one user on Simple Start to 25 on Advanced, and Xero caps invoice and bill volume on its entry plan and keeps multi-currency, projects and expense claims for its top plan.

The AI features follow the same pattern. Intuit ties named AI capabilities to each QuickBooks Online tier under the Intuit Intelligence label, adding accounting, payments, tax, sales tax, customer, project and finance functions as the plan rises. Xero promotes JAX, its AI finance agent, across its site, while its US pricing page attaches automation such as auto-reconcile and Smart Document Capture to specific plans and does not state which plans include the JAX chat experience.

For a US small business with four users, regular vendor bills and a single currency, the illustrative cost model below puts first-year subscription cost at $1,470.00 on QuickBooks Online Plus and $566.40 on Xero Growing, with a recurring annual gap of $972.00 from the second year at current list prices.

QUICKBOOKS ONLINE AND XERO US PRICING IN NOVEMBER 2026.

Intuit's pricing page shows five QuickBooks Online options. A Free plan covers one user, income and expense tracking, two invoices a month and one bank connection, with no accountant access, no mobile app and no third-party integrations. The four paid tiers carry list prices of $38 (Simple Start), $85 (Essentials), $140 (Plus) and $340 (Advanced) a month, each shown with a "50% off for 3 months" offer. The footnote text for that offer was not visible on the page when it was checked, so buyers should read the terms at checkout before treating the discounted figure as guaranteed.

Xero's US pricing page lists Early at $27, Growing at $59 and Established at $97 a month after the introductory period. The promotion gives new customers 80% off for the first three months, after which the regular price applies. Xero's footnotes limit the offer to customers in the United States purchasing their first organization on xero.com, apply it only to base plan subscriptions and exclude add-ons, usage and payment fees. Xero also states that it can change pricing at any time and that a customer who upgrades can move back to a cheaper plan only one month after the upgrade.

Accountant access is also listed per plan on the QuickBooks page: two accountants on Simple Start, Essentials and Plus, and three on Advanced. Xero's US pricing pages, including the Growing plan detail page, did not state a user count when checked, so a buyer comparing seat costs should confirm the user policy with Xero before signing up rather than assuming a figure.

PLAN LIMITS: USERS IN QUICKBOOKS, VOLUME IN XERO.

The QuickBooks Online tiers scale mainly by users and by feature depth. Simple Start adds general business reports, automated bookkeeping, invoicing with payments and bill pay with free standard ACH up to a monthly allotment, after which Intuit charges $0.50 per standard ACH transaction. Essentials adds enhanced reports, custom performance metrics and employee time on invoices. Plus adds budget planning, project profitability, inventory management and up to 40 classes and locations. Advanced removes the class and location cap and adds user permissions, workflow automation, Excel sync, batch invoices and expenses, advanced project financials and priority support. Intuit's page does not describe multi-entity accounting for any QuickBooks Online plan and points multi-entity organizations to Intuit Enterprise Suite, for which it showed no price.

Xero scales by transaction volume and by functions. Early allows quotes and 20 invoices plus 5 bills, and Xero's footnote says the invoice limit applies to both approving and sending invoices, with transactions initiated by connected apps able to count toward it. Growing removes those limits, adds auto-reconcile, custom dashboards, financial health scorecards and three budgets, and extends the cash flow forecast from 30 to 60 days. Established adds multi-currency, project time and cost tracking, expense and mileage claims, international bill payments, KPI and ratio analysis, industry benchmarking and a 180-day cash flow forecast. Auto-reconcile is available on Early as a $5.00 monthly option.

AI BOOKKEEPING IN QUICKBOOKS ONLINE: INTUIT INTELLIGENCE BY PLAN.

Intuit describes Intuit Intelligence as a system that brings accounting, payments, payroll, bill pay and tax data into one view and answers questions about the business. On the pricing page, Simple Start lists AI Chat (beta), expense categorization, tax deduction help and task automation (beta). Essentials adds Accounting AI, Payments AI, Business Tax AI and bulk invoice creation (beta). Plus adds Sales Tax AI, Customer AI and a scenario planning chat (beta). Advanced adds Project Management AI, Finance AI and continuous books quality checks with quarterly insights. The Free plan lists no AI features.

Intuit's July 1, 2025 announcement of its AI agents sets out what the main agents are meant to do. The Accounting Agent automates bookkeeping and transaction categorization and helps reconcile accounts. The Payments Agent predicts late payments, tracks invoices and sends invoices and reminders. The Finance Agent targets reporting, KPI analysis, scenario planning and forecasting for growing mid-market businesses. The Customer Agent sources leads and drafts emails, and the Project Management Agent manages project quotes, milestones and budgets. The rollout was announced for QuickBooks Online customers in the US, and the release's footnotes state that the Payments Agent is not available in QuickBooks Online Advanced.

Intuit's product update on Intuit Intelligence adds two operational limits. Its chat is available only to admin users at the time of writing, and beta features have limited availability and are subject to change. For a controller, the practical consequence is that a bookkeeper with standard user rights may not see the chat even on a plan that lists it, and beta features should not be built into a documented close procedure until they leave beta.

AI BOOKKEEPING IN XERO: JAX, AUTO-RECONCILE AND DOCUMENT CAPTURE.

Xero announced JAX as an AI financial agent on September 3, 2025, describing a single interface that would handle routine tasks such as bank reconciliations, data entry and getting paid, together with proactive suggestions and a control system Xero calls JAX Assure, intended to reduce errors and flag potential issues. Xero's US page on AI in accounting says users can ask plain-language questions and get answers from current data, and states that Xero's AI shows its reasoning, records actions in an audit trail and asks for approval before acting.

The plan mapping is clearer for the underlying automation than for JAX itself. Smart Document Capture, which captures bills and receipts, is included in all three US plans. Auto-reconcile is included in Growing and Established and is a paid option on Early. Xero claims its reconciliation reaches 97% accuracy; that figure is a vendor claim and should be tested on the company's own bank feeds before staff stop reviewing matches. Xero's AI page also describes a Claude connector that is read-only, so Claude can see the figures but cannot change them.

For teams that already prepare bank data outside the ledger, the review steps in our guide to categorizing bank transactions with Copilot, Claude or ChatGPT apply equally to automated categorization inside QuickBooks or Xero: sample the suggestions, check the vendor-to-account mapping and lock the rules that have been approved.

WORKED EXAMPLE: FIRST-YEAR COST FOR A FOUR-USER US BUSINESS.

The example below is illustrative. A US company has four people who need ledger access, enters around 60 vendor bills a month, holds inventory and invoices only in US dollars. On QuickBooks Online, four users rule out Simple Start (one user) and Essentials (three users), and inventory requires Plus or Advanced, so the lowest qualifying tier is Plus. On Xero, 60 bills a month exceed the Early limit of five, so the lowest qualifying tier is Growing, and the company would still need to confirm Xero's user policy for four people.

The model applies each vendor's introductory discount to the first three months and the list price to the remaining nine. It excludes payroll, payment processing, ACH fees above allotments and taxes.

........

The first-year difference is $903.60 and the recurring difference from the second year is $972.00 at current list prices. If the company later needs multi-currency or project tracking on Xero, Established raises Xero's annual list cost to $1,164.00. If payroll runs through Xero, the US pricing page lists Xero Payroll, powered by Gusto, at $36 a month plus $6 per employee or contractor, which for eight people adds $84.00 a month, or $1,008.00 a year. Intuit's pricing page did not show payroll pricing when checked, so the equivalent QuickBooks figure has to come from Intuit's payroll page or a sales quote.

The same model can be rebuilt in Excel with the list price in column B, the introductory discount in column C, the first-year cost in column D and the annual list cost in column E:

D2: =3*B2*(1-C2)+9*B2
E2: =12*B2

A prompt for Copilot in Excel, Claude or ChatGPT that keeps the arithmetic checkable:

Using the table in A1:C3 (plan, list price per month, introductory discount),
add column D with first-year cost = 3 months at the discounted price plus
9 months at list price, and column E with annual list cost. Show the formula
used in each new column and do not hard-code any result.

With the inputs above, a correct output returns $1,470.00 and $566.40 in column D and $1,680.00 and $708.00 in column E. Any other result means the model applied the discount to the wrong number of months or rounded the introductory price.

WHAT TO CHECK BEFORE CHOOSING QUICKBOOKS ONLINE OR XERO.

Pricing pages change, and both vendors reserve that right. Record the date the prices were captured, read the promotion terms at checkout and note that Xero's offer applies only to a first organization bought on xero.com. A business that expects to grow should model the second year at list price, because that is the cost that recurs.

User needs should be listed by role before choosing a tier. QuickBooks counts users per plan and lists accountant seats separately, so a fifth or sixth person can force a move from Plus to Advanced, a step from $140 to $340 a month at list price. On Xero, the binding constraints are invoice and bill volume on Early and the functions reserved for Established, and the user policy should be confirmed directly.

AI features need a control plan. Beta labels appear on several QuickBooks features, Intuit Intelligence chat is limited to admin users, and Xero's pricing page does not say which plans include JAX chat. Automated categorization and reconciliation still need a reviewer, a documented sample check and an audit trail, which is the same discipline described in our month-end close checklist with bank reconciliation. Companies running several legal entities are outside the scope of either entry-level product as presented on these pages; Intuit directs them to Intuit Enterprise Suite, and the mid-market alternatives are compared in our article on NetSuite vs Sage Intacct for multi-entity consolidation.

QUICKBOOKS ONLINE VS XERO FOR US SMALL BUSINESSES: COST AND AI TRADE-OFFS.

On the US pricing pages checked on November 8, 2026, Xero's list prices are lower at each step of the plan ladder, at $27, $59 and $97 a month against $38, $85, $140 and $340 for QuickBooks Online's paid plans, and its introductory discount is deeper. QuickBooks states its user limits plainly, offers a Free plan for very small operations and publishes a more granular map of AI capabilities by tier, from AI Chat on Simple Start to Finance AI and continuous books quality checks on Advanced.

Several points remain open and depend on the buyer's facts. Xero's US pages did not state a user count, the plans that include JAX chat, or which AI features are in beta. Intuit's page did not show the terms behind its 50% offer, payroll pricing or a price for Intuit Enterprise Suite, and several of its AI features carry beta labels. The accuracy and time-saving figures both vendors publish are their own claims. A company that needs inventory and more than three users will pay roughly $972 a year more at list price on QuickBooks Online Plus than on Xero Growing, and should decide whether QuickBooks' class and location tracking, approval workflows on Advanced and tier-by-tier AI features justify that difference for its own close process.
